Is your event full but people are still registering? With a waitlist, Slams saves those registrations instead of turning them away. As soon as a spot opens up, you confirm someone from the list yourself. That way you never lose enthusiastic participants, and you stay in control of who gets to join after all.
When the waitlist kicks in
The waitlist only works together with a maximum number of participants. Two things need to be set on your part:
- A Max participants value is set. Without a maximum your event is never "full", so the waitlist never kicks in.
- The Enable waitlist option is turned on.
You'll find both in the registration settings of the part (the same place where you set the registration deadline and the entry fee). If the maximum is reached and the waitlist is off, a new participant sees a message that the event is full.
How participants end up on the waitlist
Once the maximum is reached and the waitlist is on, a new registration through the registration link automatically goes to the waitlist. Good to know:
- No entry fee is charged while someone is on the waitlist. Payment only happens once you confirm the registration.
- The participant immediately receives a confirmation email that they are on the waitlist.
- Waitlist registrations do not count as active participants, and no team is created for them yet.
Confirming someone from the waitlist
Does a spot open up, for example because you cancel a registration? Then you decide who moves up. Open the part in your dashboard and go to the Registrations tab. You'll recognize waitlist registrations by an orange Waitlist label. Click Confirm from waitlist next to the person you want.
Slams then sets the registration to confirmed and creates the team right away, so the participant appears in the standings and the schedule. You can read more about the rest of this screen in managing registrations. Promoting is always manual, so you stay in control of the order and of who gets to play after all.
Automatic group in a league
Running a league with groups? Then you can let new registrations grow automatically. In the league settings, turn on the Automatic group from new registrations option. As soon as enough paid teams have come in to fill a full group (equal to your group size), Slams forms a new group from them by itself, without touching the existing groups and matches. That keeps an ongoing league growing while registrations keep coming in.
